18 Step By Step Tips To Plan A Milestone Birthday Party In 2024

Looking for how to plan a milestone birthday for any and every age and personality? This is the guide for you!

When my family planned my grandparents’ 80th birthday parties, we went all out because they were special people who deserved to be celebrated by family, friends and honestly, everyone in their town!

For my grandfather’s, I designed graphics with all his crazy sayings (like, “don’t take any wooden nickels), and put them up along the wall. We also made a timeline of his life to display, and put trinkets on the tables that had to do with his career, hobbies and interests. We also had wooden nickels made with his caricature on them, and as people came into the venue, we had a sign that instructed them to take 2 each – one to keep, and one to slyly hand him when they shook his hand (this was always my joke with him)!

For my grandmother, I used vintage advertisements and photoshopped her into them to display, and we bought a blank apron that we put some pins on and had people sign in colorful markers. For both of these birthdays, we had a “throne” for the person of honor to sit on as people arrived so they could get in line and speak to them before they went to get food and go to their tables.

We also had a cake made for my grandmother’s from the best bakery in town and had her picture put on the cake, and a cookie cake for my grandfather with Cookie Monster on it because he loved cookies! These were memorable and amazing birthdays that I am so proud that we did, especially now that my grandparents are no longer with us.

However, these rules aren’t hard and fast; other milestone birthdays can include a 16th birthday; birthdays that end in 5; and champagne birthdays, which are once-in-a-lifetime occurrences, when your birthdate matches your age (like, turning 11 when your birthday is on the 11th). This is also known as a golden birthday.

If you want to splurge on something like a DJ or fancy photo booth photographer, for example, you might want the venue to be less fancy – maybe your backyard or religious organization, for example.

Your theme can be anything you want! For my grandparents’ celebrations, the theme was them and their lives. Themes create a fun and cohesive element to any party. They can also include favorite hobbies, beloved movies or adventures, their career, or just something fun. Themes help set the tone for decorations, attire, music and games, and even food and drinks!

Next is to decide on your venue. Whether you’re hosting at home, renting a venue, or booking a space at a restaurant or event hall, choose a location that suits your theme, budget, and guest count. Make sure the venue has all the amenities you need, such as ample space, parking, and catering options.

Here’s a list things to consider:

  • How many people will be attending? Make sure your venue is big enough (or not too big, depending)
  • What will the weather be like, and can everyone get to the venue and park without an issue?
  • If you’ll need a kitchen or AV set-up, make sure the place has that
  • Choose from indoor or outdoor venue
  • Decide if you want to have the party at home, or at someone else’s house or yard

4. Pick A Date & Time

Choose a date and time that works for everyone involved, including guests you most want to attend. Consider scheduling the party on a weekend or a day when most people are likely to be available. Make sure to check for any conflicting events that might affect attendance.

5. Create Your Guest List & Send Out Invites with RSVPs

Since life milestones often inspire gratitude and the chance to look back on past decades’ accomplishments, your guest list deserves special attention. Invite people from different stages of the guest of honor’s life. High school friends, college friends and colleagues from their former job are just a few people who might be welcome!

Consider traditional options like tiered cakes with intricate designs (like a photo of the birthday individual) or modern alternatives like cupcakes, cake pops, or even pies, cookie cakes or ice cream sundaes!

  • Trinkets from home: If your theme is based around their (or your, if it’s you!) interests and life, look for things at home, like photo albums or framed photos, tokens from your career or hobbies, or more things that make you, you (or them, them)!
  • Handmade decor: Especially if you’re on a budget, you can make things on the computer (like in my story at the beginning of this article), or with craft items to decorate! My grandfather loved Cookie Monster, so we had a cookie cake and I made a poster and drew Cookie Monster (I was in college at the time)!

A 30th or 75th birthday (or any milestone age, really) is the perfect time to splurge on some personalized glassware. Or, if you prefer, plastic cups. Get the name of the birthday celebrant printed on the side, along with the number of the milestone birthday, to personalize the soiree.

What’s that? Personalized wine glasses or drinking cups aren’t elaborate enough for your birthday party? You can also order wine bottles with a personalized sticker to commemorate your loved one’s big milestone.

13. Entertainment and Activities

Think about how you’ll keep your guests entertained throughout the party. Hire a DJ or live band, set up a dance floor, organize games or activities, or plan a special performance or surprise to make the celebration memorable.
